What a POS System Costs in Kenya, Line by Line
Ask five vendors for a POS quote in Kenya and you will get five documents that cannot be compared. One lists a licence, another lists a machine, a third bundles support and none of them mention the cost that actually hurts: the month you cannot reconcile stock.
This post puts every line on one table, states what BiznaPOS costs, and names the three expenses that never appear on a quote.
The six cost lines of a POS system in Kenya
| Cost line | Desktop / on-premise system | Hosted POS (BiznaPOS) |
|---|---|---|
| Hardware | A terminal or all-in-one machine, often sold only by the vendor. Receipt printer, scanner and drawer bought separately. | None required. Runs on the computers, tablets and phones you already own, plus the printers and scanners the point of sale already supports. |
| Software | A licence per till, sometimes per branch. Upgrades are a new purchase. | Included in the subscription. Starter is free, Pro and Enterprise carry the full feature set. |
| Installation | An engineer visit, charged per site, plus travel. | Self-service signup. Import the catalogue from Excel and start selling the same evening. |
| M-Pesa | Frequently an add-on module, or a manual “pay on phone number” workaround. | STK-push built in, with the payment recorded against the sale. |
| Support | A per-year contract, sometimes per branch. Out-of-hours costs extra. | Included on every plan, answered by the people who build the software, in Kenya time. |
| Second branch | Another licence, another install visit, a way to merge two sets of books. | A setting. Pro covers up to five stores; Enterprise is unlimited. |
What BiznaPOS costs
Three published plans, metered on the things that genuinely cost more to run — stores, products and modules — never on the number of sales you make:
- Starter — free forever. One store and warehouse, up to 500 products, cash and card payments, basic reports. It is the same codebase as the paid plans, not a demo or a time-bomb, so a single kiosk or duka can run on it permanently.
- Pro — 49 US dollars a month. Up to five stores, unlimited products, M-Pesa, loyalty, advanced analytics and priority support.
- Enterprise — 149 US dollars a month. Unlimited stores and staff, custom branding, roles and API access.
Unlimited sales and receipts are on all three. There is no setup fee and no card needed to start the 14-day trial. Current limits and inclusions are on the pricing page, which is generated from the same numbers as the checkout.
The three costs vendors leave off the quote
1. Your month-end
If stock counts take a weekend and three staff, that is a real cost sitting outside the invoice. A system where sales, purchases, transfers and counts move one ledger turns month-end into minutes; a system where they live in separate places turns it into a recurring payroll expense. This is the line that decides whether a cheap system is cheap.
2. Shrinkage you cannot locate
Variances you cannot attribute are variances you will keep paying for. Per-user permissions, register shift approvals and a cash-up report that names the till and the shift do not look like features on a price list, but they are the difference between a loss and a mystery.
3. Migration you postponed
Software that cannot import your catalogue with cost, price, barcode and opening stock means someone keys it in — at your cost, with their typos. Check that the export side works too: your data leaving easily is the reason a vendor cannot hold it hostage later.
Is there a free POS system worth using in Kenya?
Yes, with one test: find out what happens on day 31. Most “free” point of sale software is a trial wearing a different name, or a version stripped of the reports you would have bought the system for. A genuinely free tier should be the same product with smaller limits — which is why Starter is one store, 500 products and basic reporting, with no expiry, and why growing out of it is a plan change rather than a re-implementation.
Beware the reverse trade too. A very low subscription on a per-till or per-user basis usually beats a free single-counter plan once you add staff, so divide the quoted price by what is actually metered before comparing anything.
How to compare two quotes in one afternoon
- Write the three-year total, not the monthly fee: hardware plus licence or subscription plus install plus support plus the second branch.
- Ask each vendor to sell you the same five things on the spot: an offline sale, a split payment, a stock transfer, a consolidated count and a credit customer. Whatever cannot be demonstrated is not in the price.
- Confirm the metered item — products, stores, tills, users or sales — and what it costs to exceed it.
- Confirm what you can export, and in which format.
Then run the same list in a trial on your own products before signing anything: create your shop.
